At 250 guests — the size these bookings usually run to — we plan 3-4 live counters and 10-12 service staff, with 16-18 dishes on the menu and 4 hrs of setup. The ratios behind that are one live counter per 75 guests and one steward per 25 guests, or one steward per 12 guests for plated service. Because Swargate work is mostly community halls and mandals, a society or community hall is a shared building — the load-in goes through a common lobby, and we confirm the committee's load-in and music cut-off times before the date so nothing is discovered on the evening.

On a boat there is no kitchen, no room to plate and no way to send anything back: the menu is finished ashore, packed cold and carried on by hand in what a single crossing allows. In practical terms we need a jetty load-in window, and a headcount fixed before the boat leaves. We confirm it at the recce before the date rather than on the morning of the event.
